VL Trading operates a WhatsApp assistant on the business number +91 88999 44347. It answers price enquiries and prepares quotations. This page explains what it stores, why, and how to have it deleted.

In short: the assistant is used by VL Trading's own staff. Messages are processed on a computer we control, not on a rented server. We do not sell data, we do not run advertising, and we do not share your details with anyone except where the law requires it.

Who is responsible

VL Trading, Leh, Ladakh, India, is the data controller for information handled by this assistant. For any privacy question or request, contact us on the WhatsApp number above.

What we collect

Your WhatsApp phone number — so we can reply to you.
Your WhatsApp display name, as WhatsApp provides it.
The messages you send us, including text, photographs of bills or product lists, documents, and voice notes.
The replies we send you, including any quotation.
Business details you choose to give us, such as a GSTIN, a delivery address, or a firm name.

We do not ask for and do not want payment card numbers, bank details, passwords, or identity documents. Please do not send them.

Why we keep it

To understand your enquiry and prepare an accurate quotation.
To remember what was quoted, so a later question about the same order can be answered consistently.
To keep proper business and tax records, as Indian law requires of us.

We rely on our legitimate interest in responding to enquiries, on performing a contract where you place an order, and on our legal obligation to keep accounting records.

Where it is stored

Messages and quotations are stored in a database on a computer operated by VL Trading in India, with backups held on the same premises. The assistant runs locally: the language model that reads your message runs on that same computer and your message is not sent to an external AI service for that purpose.

WhatsApp messages necessarily pass through Meta Platforms, Inc., which operates the WhatsApp Business Platform and acts as our processor for delivery. Meta's handling of your data is governed by WhatsApp's own privacy policy.

Who we share it with

We do not sell your data and we do not use it for advertising. We share it only:

with Meta, to the extent needed to deliver WhatsApp messages;
with our accountant, where a quotation becomes an invoice and must be entered in our books;
where we are required to by law, or by a valid order of a court or tax authority.

How long we keep it

Enquiries that did not lead to an order: up to 24 months, then deleted.
Quotations and orders: retained for eight years, which is the period Indian tax law requires for business records.
Photographs and voice notes: deleted once the information in them has been recorded, and in any case within 12 months.

Your rights

You may ask us to:

tell you what we hold about you;
correct anything that is wrong;
delete your messages and contact details, except records we are legally required to keep;
stop messaging you — send STOP on WhatsApp and we will not message you again.

Message us on +91 88999 44347 and we will act within 30 days. There is no charge.

Automated processing

Quotations are prepared with software assistance, but prices come from rates our staff have entered and approved, and a person reviews a quotation before it is treated as final. No decision with a legal or similarly significant effect on you is made by software alone.

Children

This is a service for trade customers. It is not directed at children and we do not knowingly collect information from anyone under 18.

Security

Access to the system is restricted to VL Trading's owners. The computer holding the data is password-protected, the connection used by the assistant is encrypted, and every message and quotation is written to a tamper-evident log so any alteration can be detected.

Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be notified on WhatsApp to customers we are in active contact with.
